Mobile Bar Setup Checklist for Miami Events (Host's Guide)
Hosting an event with a mobile bar? Here's the complete checklist for what you need to prepare, what the bartender brings, and how to make everything run smoothly.

Hiring a mobile bartender for your Miami event is the easy part — they bring the bar, the tools, and the expertise. But as the host, there are a few things you need to prepare to make sure everything runs smoothly. Here's the complete checklist, from space planning to alcohol shopping.
What the bartender brings (you don't need to worry about these)
- Portable bar counter with professional setup
- Full set of bar tools — shakers, jiggers, strainers, muddlers
- Glassware for all guests (crystal-clear, appropriate for each drink)
- Ice — enough for the entire service
- Fresh garnishes — citrus wheels, herbs, fruit, edible flowers
- Mixers — juices, syrups (house-made), sodas, tonic, sparkling water
- Custom cocktail menu designed for your event
- LED glassware and string lights (Full Bar Setup and above)
- Napkins, straws, and bar accessories
- Cleanup of the entire bar area after the event
What you need to prepare as the host
1. Bar space
The mobile bar needs about 6x4 feet of flat space. It can go indoors, outdoors, on a patio, by the pool, or even on a yacht deck. Make sure there's access to a power outlet within 20 feet for any LED lighting. If you're outdoors, consider shade or a covered area — direct Miami sun can melt ice fast and affect drink quality.
2. Alcohol
Most mobile bartenders in Miami (including us) don't provide alcohol — you purchase it yourself. This is actually cheaper for you and gives you full control over your budget. After you book, you'll receive a custom shopping list based on your cocktail menu and guest count. Typical rule of thumb: plan for 2-3 drinks per guest for the first hour, then 1-2 drinks per hour after that.
3. Guest count
Give your bartender an accurate guest count at least one week before the event. This determines how much ice, glassware, and garnishes are prepared. One bartender comfortably serves up to 70 guests. For 70-120 guests, consider adding a second bartender. Over 120 guests, a second bar station is recommended.
4. Timing and access
The bartender typically arrives 45-60 minutes before the event to set up. Make sure the venue is accessible at that time — gate codes, elevator keys, loading dock access, anything needed to get equipment in. Let the bartender know when you want service to start and end, and whether there's a hard stop time at the venue.
5. Event details to share with your bartender
- Event type (birthday, wedding, corporate, etc.)
- Theme or color scheme (for cocktail presentation)
- Any dietary restrictions or alcohol-free guests
- Whether you want a mocktail option
- If you'd like a fire show or dry ice cocktails
- Special moments (toasts, champagne tower, signature drink reveal)
- Parking situation for the bartender's vehicle
- Contact person on the day of the event
Quick reference: alcohol shopping guide
| Guest Count | Spirits (750ml bottles) | Wine (bottles) | Beer (cans/bottles) | Mixers |
|---|---|---|---|---|
| 20 guests | 3-4 bottles | 4-6 bottles | 12-24 units | 6-8 liters |
| 50 guests | 6-8 bottles | 10-15 bottles | 36-48 units | 12-16 liters |
| 100 guests | 12-15 bottles | 20-30 bottles | 60-100 units | 20-30 liters |
These are estimates for a 3-hour event. Your bartender will send a personalized shopping list after you finalize your cocktail menu — it will be more precise than these general numbers.
